Privacy Policy

This Privacy Policy explains how LocalKey (“LocalKey,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information when you use our websites, applications, public business pages, dashboards, and related services (collectively, the “Services”).

1. Information we collect

Information you provide

We may collect:

  • Account information, such as your name, email address, phone number, authentication identifiers, and account preferences;
  • Organization information, such as a hotel or business name, address, contact details, website, team members, and user roles;
  • Business content, such as descriptions, images, recommendations, and other materials submitted for publication;
  • Billing information, such as billing contact details, subscription selection, transaction status, and payment-related identifiers. Payment-card details are processed by our payment provider and are not stored directly by LocalKey; and
  • Communications, including messages, requests, feedback, and support correspondence you send to us.

Information collected automatically

When you use the Services, we may automatically collect device and usage information, including:

  • IP address, browser type, device type, operating system, and language;
  • pages viewed, referring pages, dates and times of access, and approximate location derived from an IP address; and
  • interactions with the Services, such as website-link clicks, phone-link clicks, and map-direction clicks.

We may use cookies and similar technologies to maintain sessions, remember preferences, protect the Services, and understand usage. See Cookies and analytics below.

Information from other sources

We may receive information from organization administrators who invite or manage users, from hotels and businesses that provide listing content, and from service providers involved in authentication, billing, maps, analytics, or infrastructure.

2. How we use information

We use personal information to:

  • provide, operate, maintain, and secure the Services;
  • create accounts, authenticate users, and manage permissions;
  • publish and manage hotel and local-business content;
  • process subscriptions, transactions, and billing;
  • provide support and communicate about accounts, updates, security, and service changes;
  • measure use of the Services and provide participating organizations with analytics, such as aggregate page views and interaction counts;
  • troubleshoot, develop, and improve features and performance;
  • detect, investigate, and prevent fraud, abuse, and security incidents; and
  • comply with law, enforce our agreements, and protect rights and safety.

3. How we disclose information

We may disclose personal information in the following circumstances:

  • Service providers. We use vendors to support authentication, payment processing, cloud hosting and storage, mapping, analytics, communications, and other operations. These providers may process information for us under their own contractual and privacy obligations.
  • Hotels, businesses, and account administrators. We disclose information as needed to provide organization accounts, user-management features, public listings, and reporting. Public profile information and published Business Content can be viewed by anyone.
  • Business transfers. Information may be disclosed in connection with a merger, financing, acquisition, reorganization, bankruptcy, or sale of all or part of our business or assets.
  • Legal and safety reasons. We may disclose information when we reasonably believe it is necessary to comply with law or legal process, enforce agreements, investigate misuse, or protect the rights, property, or safety of LocalKey, our users, or others.
  • With your direction or consent. We may disclose information when you ask us to or otherwise consent.

We do not sell personal information for money. We do not disclose personal information to third parties for their own direct marketing without your consent.

4. Cookies and analytics

The Services may use cookies or similar storage for authentication, security, preferences, and consent choices. We may also use analytics tools, including self-hosted or service-provider tools, to understand page views and interactions. Where required, we request consent before using non-essential cookies or analytics.

You can control cookies through available consent controls and your browser settings. Blocking some cookies may prevent account or preference features from working correctly. Browser privacy controls do not necessarily affect information that is not collected through cookies.

LocalKey uses third-party services that may include Clerk for authentication, Stripe for payments, Amazon Web Services for infrastructure, and mapping providers for location features. Those providers process information under their own privacy notices and, where applicable, on our behalf.

The Services also link to hotels, businesses, map services, and other third-party websites. We do not control their privacy practices, and this Privacy Policy does not apply to their services.

6. Data retention

We retain personal information for as long as reasonably necessary to provide the Services, maintain an account or business relationship, comply with legal and accounting obligations, resolve disputes, enforce agreements, and protect the Services. Retention periods vary based on the type of information, why we use it, contractual requirements, and applicable law. We may retain de-identified or aggregated information that does not reasonably identify you.

7. Data security

We use administrative, technical, and physical safeguards designed to protect personal information. No system or transmission method is completely secure, however, and we cannot guarantee absolute security. You are responsible for protecting your account credentials and notifying us if you believe your account has been compromised.

8. Your choices and rights

Depending on where you live, you may have rights to request access to, correction of, deletion of, or a copy of personal information, or to object to or restrict certain processing. You may also have the right to withdraw consent or appeal a decision about a privacy request. These rights may be subject to exceptions under applicable law.

You can update certain account or organization information through the Services. To make another privacy request, contact your LocalKey account representative or use the contact method provided in your account. We may need to verify your identity and authority before completing a request. Authorized agents may submit requests where applicable law permits.

You may opt out of non-essential communications by using the unsubscribe method in the message. We may still send transactional, account, billing, or security notices.

9. Children’s privacy

The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, please contact us so we can take appropriate action.

10. International processing

LocalKey and its service providers may process information in the United States and other countries. Those countries may have data-protection laws different from those where you live. Where required, we use appropriate safeguards for international transfers.

11. Changes to this Privacy Policy

We may update this Privacy Policy to reflect changes in the Services, law, or our practices. We will post the revised policy here and update the effective date. If changes are material, we will provide additional notice when reasonably practicable.
